Template

A Template is a preset layout, used as a base or organized structure for a particular application so that the format does not have to be recreated each time it is used. 

By clicking on the Template menu, you can view different types of templates available and you can add and download the templates. These templates can be used in various projects.

Create 

Create your customized Template by adding the required Projects, Tags, Category and Editors. To create a template follow the steps given below.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Click on the Add Template button.


Step 3: On the appearing Add Template screen, fill in all the details including Projects, Tags, Category, and Editors.

Note: The Users added as Editors can do all the changes to the Template like the Template Owner, who created the Template.

 

Step 4:  Click on the Add Fields option to add the Template fields.

Step 5: On the appearing Template Fields screen, select the required Template Fields and click on the Add button.


Step 6: Click on the Save button. 



The Template will be created as a draft Template.


Step 7: After creating the draft Template, publish the template, to make it active.

Select the Template and in the Template Details page, click on the Settings icon and select the Publish Version option.


Step 8: In the appearing Publish Version screen, give a Version description and click on the Publish button. 


Now, the created template will become Active and it will become a version of the Template, which can be viewed in the Template Version section.


Note: Once you create the Template, you have to publish it so that it will be stored as a version in the Template Version section and also the Template will become active. 

To view the Template Versions, you can navigate to the Template Version section.

Add Data to Created Template

Note: Data can be added only to the draft Template.

Data can be added to the Template in two ways. They are,

  1. Manual Entry
  2. Import Data from a CSV file.

Note: It is in every case better to restrict the number of rows in the Template to under 100, for proficient use of the Template and furthermore the information can be shown viably.

Manual Entry of data

Add data to the created draft template by following the few simple steps given below.

Step 1:  In the Manage Template section, select the Template menu.

Step 2: Select the required Draft Template to add data.


Step 3: Click on the Add icon.


Step 4:  A row appears to add data. You can add data and make changes to the data.

Fill in all the required details and click on the tick icon.


The data will be added. You can also edit and delete the data added.

Import

In the Template Manager Application the Template Owner, the Application Admin, and the user with the edit permission can bring any information to the template from another CSV file by importing it.

Importing is getting data from any of the other file formats to the Template. Only CSV file formats are allowed to be imported to the Template in Template Manager. Importing the values from CSV is much similar to normal Jira import.

Notes: Only the Template Owner who created the Template, the Application Admin, and the users with edit permission can import data to the template. The Import Data can be done only in a Draft Template.

To import, any data from a CSV file follow the steps given below.

Step 1:  In the Manage Template section, select the Template menu.

Step 2: Select the required Draft Template to Import data.

Step 3: Click on the Settings icon on the Template details page and select the Import Data option.


Step 4: In the appearing screen, upload the CSV file from which you need the data to be imported.


Step 5: Click on the Next button.


Map the fields of the CSV file to the fields of the Template and also you can skip the fields from mapping if you don't need that fields to be imported from the CSV file.

  • If you want to override the Template data with the CSV File data, then map the Template Row Number in CSV Field to Template Row Number in Template Field.
  • If you need to add the CSV File data as a new set of data in the template, then don't map the Template Row Number in CSV Field to Template Row Number in Template Field.

Note: If you are Importing CSV File data for the first time to any Template with no data, then don't map the Template Row Number in CSV Field to Template Row Number in Template Field, because it will cause an error as the Template Row Number does not exist.

After mapping the fields click on the Next button. 


The validation of the data will occur in the next step.

  • The validation stage will show the validation summary and it will show which data got success and which data got failed.
  • For any of the rows that got failed while importing, the failure status will be displayed and the error in the data will be shown in the message column, in the Validation Summary.
  • For the rows having correct data, the success status will be shown in the Validation Summary. 
  • You can also export the Validation Summary in a CSV format.
  • If any row got failed, then according to the displayed message change the data in the particular row in the CSV file and import the data again.
  • Only when all the rows get a success message in the Validation Summary, you can Import the data.

After getting a success status for all the rows, click on the Import Data button present below. 


The Import Summary will appear, which you can export as a CSV file if required. Click on the Done button to import the data.

Export

The Template Manager allows users to export the data from any Template in the CSV file format. While exporting any template the whole headers and columns in the template with the data present will get exported. By exporting the data one can get the Template details completely and you can prepare the data in the exported CSV file for importing it again into the Template.

Step 1:  In the Manage Template section, select the Template menu.

Step 2: Select the required Template to Export data.

Step 3: Click on the Export icon on the Template details page.

Step 4: Select the Export as CSV option. 


The CSV file will be downloaded.

Edit Data in a Template

Note: Data can be edited only in the draft Template.

Data in the Template can be edited in two ways. They are,

  1. Single Row Edit  and
  2. Multi-Row Edit (Bulk Edit)

Single Row Edit

In the Template, one can edit a single row with the help of the row-wise edit option. For each row, an edit option will be provided in the draft Template.

Step 1: Select the required draft Template in which you need to edit data.

Step 2: In the appearing Template Data, click on the Edit icon corresponding to the row you need to edit.


Step 3:  Make the changes in the row.


Click on the Tick icon.


The data will be modified in the row.

Multi-Row Editing (Bulk Edit)

In the Template, one can edit the data in any number of rows at a single time with the help of the Bulk Edit option. An Edit All option will be provided in the draft Template, to edit the bulk data.

Step 1: Select the required draft Template in which you need to edit data.

Step 2: In the appearing Template Data, click on the Edit All icon present at the top of the headers in the Template.


Step 3:  Make the changes in the required rows and columns.


Step 4: After making changes, click on the Tick icon.


The data will be modified in the row.

Create Draft

Note: Draft can be created only by the Template Owner who created the Template, the Application Admin, and the users with edit permission for the Template.

To make changes in the fields and field data of a published template, you have to make a draft of the template. To create the draft of the Template, follow the steps below.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Click on the Actions icon corresponding to the Template you need to create a draft.

Step 3: Select the Create Draft option.



Draft for the Template will be created. Here in the draft one can modify the fields, add data to the Template, Edit fields, publish a new version, discard the draft, and Import data.

Discard Draft

Note: Only the Template Owner who created the Template, the Application Admin, and the user with edit permission for the Template can discard the draft of the Template.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Select the Draft Template, which you need to discard the draft.

Step 3: In the appearing Template Details page, click on the Settings icon and select the Discard Draft option.


The draft of the Template will be discarded.

Edit 

Template Manager allows you to make any changes to the Template. The Template Owner, the Application Admin, and the user with edit permission can correct and modify the template and publish it as a new version of the Template. After editing the Template, you must publish it to create a new version of the template.

Note: Only the Template Owner who created the Template, the Application Admin, and the users with edit permission can edit the Template.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Click on the Actions icon corresponding to the Template needed to Edit.


Step 3: Select the Edit option

Step 4: On the appearing  Edit Template screen, make the required changes.


Step 5: Click on the Save button. 

The Template will be modified.

Now, the edited template will become Active and it will become a version of the Template, which can be viewed in the Template Version section.

Note: Once you edit the Template you have to publish, then it will be stored as a version in the Template Version section. 

To view the Template Versions, you can navigate to the Template Version section.

Edit Fields

Note: Only the Template Owner who created the Template, the Application Admin, and the users with edit permission can edit the Fields. The fields of a template can be modified only in a Draft Template.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Select the Draft Template, in which you need to edit the fields.

Step 3: In the appearing Template Details page, click on the Settings icon and select the Edit Fields option.


Step 4: The Template Fields screen appears. Here check the required fields you need and uncheck the fields which you need to remove.

Step 5: Click on the Add button.


The fields will be modified.

Reorder Fields

Note: Only the Application Admin, the Template Owner who created the Template, and the users with edit permission can reorder the Fields. The fields of a template can be reordered only in a Draft Template.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Select the Draft Template, in which you need to reorder the fields.

Step 3: In the appearing Template Details page, click on the Settings icon and select the Reorder Fields option.


Step 4: Now reorder the fields in the appearing Reorder Fields screen and click on the Save button.

The fields will be reordered.

Publish a Version

Note: Only the Template Owner who created the Template and the users with edit permission can publish a Template Version. Only in a Draft Template, you can publish a new version of the Template.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: As a Template Owner, select the Draft Template, which you need to publish a new version.

Step 3: In the appearing Template Details page, click on the Settings icon and select the Publish Version option.


Step 4: In the appearing Publish New Version screen, give the version description.



Step 5: Click on the Publish button.

The New Template Version will be published.

Copy

If you need to create a similar or identical template as the earlier created Template, the Template Manager Application helps you to create a copy of any Template created earlier. To Copy, any Template, follow the steps given below.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Click on the Actions icon corresponding to the Template needed to copy.

Step 3: Select the Copy option.


Step 4: On the appearing Copy Template screen, give the name for the Template, and select the required  Data or Project Associations options or both the options before saving. Here if Data is checked, then the data related to the corresponding template will be copied, and if Project Associations is selected then the project which the user added while creating the existing template will be copied. Now click on the Save button.


 The Template will be copied.

Delete

To remove the particular template and clear all the data related to that particular template then the Template Manager provides the option to delete the template. To delete the Template follow the steps mentioned below.

Note: Only the Template Owner who created the Template, the Application Admin, and the users with edit permission can delete the Template.

Step 1:  In the Manage Template section, Select the Template menu.

Step 2: Click on the Actions icon corresponding to the Template needed to delete.

Step 3: Select the Delete option.



Step 4: On the appearing screen, click on the Delete button. 


The Template will be removed.
